Most Zoom Room designs include a compute platform or appliance, camera, audio system, display, and control method. The exact products and quantities depend on the room layout, expected meeting experience, and features included in the project.

Compute Platform or Zoom Rooms Appliance

The Zoom Rooms application can run on supported computers and purpose-built appliances. Begin with equipment listed under Zoom Certified Hardware or a computer that meets the current Zoom Rooms system requirements.

Do not select the compute platform based only on how many people the room seats. Performance requirements can also be affected by:

  • The number and resolution of displays
  • Multi-camera operation
  • Smart Gallery or Intelligent Director
  • Interoperability with other meeting platforms
  • Touch functionality
  • Attached controllers
  • Advanced content-sharing workflows
  • Additional room-control integrations

A small room with advanced features may require more processing capability than a larger room with a basic single-display configuration. Review the complete feature set before approving the compute platform.

A certified all-in-one video bar may work well in a smaller room with predictable seating. A longer or more acoustically challenging room may require separate cameras, expansion microphones, distributed ceiling microphones, a digital signal processor, or dedicated loudspeakers.

Certification confirms compatibility with Zoom. It does not guarantee that a product provides suitable coverage for every room.

Displays and Room Control

Software, Firmware, and Operating System Requirements

Hardware compatibility can change as software, operating systems, and manufacturer firmware are updated. Software maintenance should therefore be treated as part of the room design, not as a one-time installation task.

Before equipment is shipped or installed, confirm that:

  • The Zoom Rooms computer or appliance is currently supported
  • The controller and scheduling display hardware are supported
  • The operating system is approved for the selected platform

Network, Calendar, and Account Requirements

A physically complete Zoom Room can remain unusable when network access, calendar integration, or account preparation is incomplete.

Coordinate with the organization’s IT, Zoom, and calendar administrators before the installation date.

Network Readiness

Confirm the following network requirements:

  • A reliable wired network connection where practical
  • Sufficient upload and download capacity for the planned meeting experience
  • Firewall access for required Zoom services
  • Any VLAN, subnet, or quality-of-service requirements
  • Communication between the room system and controller
  • Network access required for direct sharing or BYOD functions
  • Device-management and remote-support access
  • An approved wireless connection for user devices when needed

Network testing should be completed at the connection that will serve the room, not only from the network closet or another part of the building.

If the room will use one-touch join, scheduled meetings, or a scheduling display mounted outside the room, the calendar integration and room resource must be prepared before commissioning.

Zoom Room Licensing Requirements

Shared Zoom Rooms

A standard Zoom Room for a shared conference space uses one Zoom Rooms license for each room instance. The license allows the room to operate as a centrally managed meeting space within the organization’s Zoom account.

A standard Zoom Meetings user license should not be treated as a replacement for a shared Zoom Rooms license.

Scheduling Displays and Digital Signage

Zoom supports scheduling-display-only and digital-signage-only room types for accounts that have a Zoom Rooms license. These room types do not consume a separate license for every scheduling display or signage endpoint in the same way that a shared meeting room does.

They still require compatible hardware, configuration, network connectivity, and any supporting calendar integration. A scheduling-display-only room also needs a connected calendar resource to provide room availability and reservations.

Do not describe every scheduling display or digital signage endpoint as a separate paid add-on without confirming the organization’s current Zoom plan.

Workspace Reservation and Advanced Features

Workspace Reservation supports the booking of rooms, desks, and other workplace resources. Availability and licensing depend on the organization’s subscriptions, room types, and intended workflow.

Touch rooms, companion whiteboards, BYOD mode, multi-camera functions, Intelligent Director, interoperability, and similar features can also have specific hardware, software, room-type, and account requirements.

These features should not be grouped together as universal paid add-ons. Confirm the current entitlements and technical prerequisites with Zoom or the organization’s authorized reseller.

Create repeatable designs for common room types, then confirm that each site matches the applicable standard.

Waiting Until Installation Day to Configure the System

Equipment may arrive with older software or firmware. Calendar access, room creation, licenses, and activation methods may also be incomplete.

Pre-stage the system whenever practical. Update approved software, assign the room, connect the controller, configure the calendar resource, and verify communication between the primary components.

The goal is to send a known configuration to the site rather than using the installation appointment as the first complete system test.

Skipping a Complete Acceptance Test

A startup screen does not confirm that the room is ready for users.

The final test should include:

  • Starting and joining a scheduled meeting
  • Checking camera framing from the expected seats
  • Confirming microphone pickup throughout the room
  • Checking speaker coverage and volume
  • Sharing content from the devices employees will use
  • Verifying calendar information and one-touch join
  • Testing the room controller
  • Confirming scheduling display operation when included
  • Testing touch, BYOD, dual displays, or advanced features in scope
  • Recording device details and final configuration

Test the room using the same workflows employees will use after handoff.
